Purpose

This page outlines establishing and assigning responsibility for smaller tasks and projects.

Application

The best practices for small projects and tasks apply to the managers at Buzz Marketing.

1. Decide if the Project Will Be Run as a Ticket or a Task

If a task will take less than 1 hour, please assign the ticket to the person responsible for completing the task with a project brief, expected due date, and all relevant information included in a note within the ticket. 

If a task will take more than 1 hour, please create a task and/or project in Teamwork with the project brief, all steps listed out as tasks and assigned to the correct person with due dates.

Establish whether the project will be billed hourly or at a set price, and the hours allotted to the team to complete the task/project. Outline this information clearly in the "Project Scope & Ad Spend" notebook, tagging the team members it applies to.

2. Book Meetings As Required

Once the timeline and accountabilities have been assigned, determine whether an onboarding meeting with the client and/or kick-off meeting with our internal team is required. If so, schedule these meetings, invite team members/the client and update the project deadline accordingly.

3. Check In with the Team

Check in with your team to ensure they know the steps that need to be completed and that timelines are being followed. Ensure there are no roadblocks and intervene where necessary to provide assistance. 

4. Bill Once the Task is Complete

To ensure that all hours are invoiced, wait until the task is complete and approved by the client, and then ask Debbie to bill the client at the appropriate rate for the number of hours worked. 

5. Close Out All Tasks & Tickets

Once the project is complete, please review all the work, make necessary revisions, and send it to the client for review. Once approved, close out all tasks or tickets associated with the project.
