Purpose

This page will outline how to create an SOP page for the Buzz Marketing Knowledge Base.

Application

This process ensures that all SOP pages are made consistently and presented in the proper format.

1. Gather the Information

Open up the Google Doc template and first look at what category is selected for the category the page will be created under.

Using this information, navigate to the Help Docs and click the intended category. Next, in the top right corner, click Add Article. Input the title name provided in the Google Doc into the Article title line on the Help doc.

2. Create the Headers

To create the headers, go to the style "A" button and select Header 2. Do this for all titles. Additionally, when creating the headers for each step, do not include the word "step." Simply just put the number.

3. Enter the Information

Enter the information in each step directly under the title in full sentences unless bullet points are more appropriate for a part of the section. Ensure to input the information as it is laid out in the Google Doc template, including any photos or images.

Here are some formatting guidelines:

  • Bold any buttons that are mentioned (ex., Click Save) and bold any examples that are provided.
    • Example: Bold this information
  • Be sure to add in any external links and link them to words rather than just pasting the link.
  • For the spacing, ensure that there is a singular line space between every step and below and above each image.

4. Adding Videos (if applicable)

Do not use the Insert Video button when adding videos, as this just puts the link. To add a video, you will need the code. Once you have the code, click the "<>" button and view the source code. Input the code here.

5. Input Keywords

Input the page's keywords to ensure it comes up when searching for content in the Buzz Knowledge Base. Click the Keywords tab at the top of the help docs editing page to input these.

6. Send to Employee for Review

Once the SOP page is complete, click Save and send the link to the SOP page to the individual for them to review. Make any necessary edits or changes to the page and publish. To publish the page, navigate to the Status at the top left-hand side of the page. Click the drop-down arrow and click Publish and Save.
