Purpose

This page aims to establish guidelines for capturing high-quality headshots to maintain a professional image and consistency across Buzz Marketing's promotional materials.

Application

All employees tasked with capturing headshots for Buzz Marketing's promotional materials, including website, social media, and marketing campaigns, should adhere to best practices for headshots.

1. Preparing the Subject

Ensure the subject is well-groomed and appropriately dressed according to the company's branding guidelines. Choose a suitable location with adequate lighting and minimal distractions for the photoshoot, such as our Buzz Photo Studio on the second floor.

Talk with the client about their expectations, regulations, and any requirements they might have. Additionally, ask the client to show their previous headshot and discuss what they want to improve or change if applicable. 

2. Setting up Equipment

Check the setup and camera equipment, including the camera body, lens, and lighting equipment. Test the lighting setup to ensure proper exposure and eliminate harsh shadows. 

3. Directing the Subject

Communicate with the subject to establish a comfortable and confident posture. Also, provide clear instructions for facial expressions and positioning to achieve the desired look. 

4. Capturing the Shots

Take multiple shots using different angles and compositions to provide variety. Review each shot on the camera display with the client to ensure focus, exposure, hair, posture, or any other details are accurate. 

5. Selecting the Best Shots

For review and selection, transfer the photos to the designated folder in Google Drive with a clear file name; create one if needed. Next, send watermarked photos to the client and ask them to choose the best shots based on factors such as expression, composition, and overall quality. 

6. Editing & Retouching

Use professional photo editing software to enhance the selected shots. Perform basic adjustments such as colour correction, exposure correction, and cropping. Additionally, minor imperfections on the subject and around it should be retouched while maintaining a natural appearance. As a final step, use airbrush retouching.

7. Saving & Organizing 

Save the edited photos in the designated folder with clear file names for easy retrieval. Organize the photos according to project or subject to streamline future access. 

Ensure confidentiality and respect the subject's privacy by obtaining consent before using their headshots for promotional purposes.

8. Sharing & Distribution

Share the final headshots with relevant team members for approval. Then, distribute the approved headshots to the appropriate channels for use in the marketing materials.

Ask the Office Admin/Bookkeeper to send the invoice to the client if they have not paid yet.

Regularly update headshots to reflect changes in staff or branding guidelines.
