Purpose

This page is structured to show how a general employee should use their time to ensure all tasks are completed efficiently and according to deadlines.

Application

All employees are to use their discretion regarding time allocation, depending on time-sensitive projects, urgent tickets, etc.

First Hour Upon Arrival 

When an employee arrives in the morning, they should open Teamwork Desk and their email to review any updates that may have come in after logging off, check any open tickets they assigned the team members and check any new tickets assigned to them. The first hour of each day should be spent addressing tickets and emails, setting up work for others, posting client/internal feedback on projects or responding to clients.

Daily Projects

Employees should move on to establishing their daily project tasks once all emails and tickets have been resolved or an hour has passed (whichever happens first). By opening Teamwork Projects, they can see any updates to projects, new tasks assigned to them and ongoing communications between the team. If they head to My Work, they can see impending due dates and schedule their work accordingly.

*Note: Some teams have morning meetings to address, but please use Teamwork to come into those meetings informed. We have so many daily tasks that all eyes are needed on to ensure that no balls get dropped. If you are uncertain about your daily priorities, please contact a manager.

Notifications & Skype Messages

You can dive into your project work once your priorities are established and all urgent emails/tickets have been answered. Notifications will come in throughout the day, and how you manage these will be a personal preference. Still, you are expected to check your email/tickets/skype at least once an hour to ensure you are not holding up anyone else's work. It is recommended to follow the Pomodoro method to allow yourself a good balance of " focused time" and time to let your brain relax or get to other tasks.




End of the Day 

The last 30-60 minutes of each day should be spent on administrative cleanup, which includes responding to all Skype messages and any urgent emails or tickets. This is a great time to ensure that any outstanding work is located in a task or ticket or to set a reminder for yourself as you assess your workload for the following day.

Meetings 

We have regular ongoing meetings to ensure that communication across teams is delivered in a timely manner.

Kickoff Meetings
The sales director and project manager communicate the specs of the new projects to the appropriate team members. All relevant details should also be located in Teamwork, but this is an opportunity to ask questions, discuss how to move forward, provide context, etc.

Production Meetings
Occurring once a week, the team reviews all the open projects so we are all on the same page. This allows us to help each other overcome roadblocks and obstacles and ensure accountability is evident.
